Essential Duties: This work requires the application of experience design and customer service skills as well as a comprehensive knowledge of operations in direct support of and assistance at the Provo Recreation Center. The individual appointed to this position will be required to perform the following duties: maintain Recreation Center membership software processes, membership registration and account troubleshooting, and monitoring a smoother, modern membership registration experience; maintain building inventory; publish and coordinate Recreation Center schedule of events and other essential communications through a social media strategy in coordination with operations coordinator and facility manager; assist operation coordinator with training and supervision of guest service staff and customer service; coordinate and maintain various Recreation Center contracts; schedule, plan, and implement various membership-outreach and member experience pop up events at all triple play program facilities; manage corporate membership accounts; perform secretarial, clerical, and specialized duties; compile information and figures for special reports; manage member communications through email, in-house digital signage and facility signage; maintain record systems; ensure information on assigned programs is available on request; may assist in formulating, preparing and monitoring budget and expenditures; participate in daily cash count and other fiscal office responsibilities; receive and handle calls; give routine information from reports and records; handle confidential information; maintain supplies and inventory levels; and assist other staff members as needed and perform other related duties as required.
Minimum Requirements: Office Specialist I: High school diploma or G.E.D. with some course work in the secretarial sciences; or six months experience in clerical/secretarial work, including experience in the use of word processors. Office Specialist II: High school diploma or G.E.D. and either one year of experience as an Office Specialist I or 1.5 years of comparable experience; or an equivalent combination of job-related education and experience substituting each one year of post-secondary education/training for six months of experience. Office Specialist III: High school diploma or G.E.D. plus either 1.5 years experience as an Office Specialist II or 3 years of comparable major clerical support and experience design experience, or an equivalent combination of job-related education and experience substituting each one year of post-secondary education/training for six months of experience. New hire probationary period will be one (1) year. NOTE: Applicants appointed directly to a career series position at higher than the entry level must satisfactorily complete the associated advancement criteria during the probationary period.
License: Valid, lawful driver’s license is required at time of appointment. Applicant may be disqualified on the basis of an unacceptable driving record as reflected by the State Department of Motor Vehicles.
Preferences: Preference given to applicants with a knowledge of Microsoft Word, experience with systems such as HBS and PeopleSoft, or Rec Pro.
Selection Factors: Knowledge of experience design principles as they relate to municipal recreation, fitness administration, and membership satisfaction processes; administrative support functions including the operation of standard office machines and equipment; applicable budgetary and accounting processes; related laws, codes, rules and regulations governing the functions of the position; and policies and procedures established for the work system. Skill in performing customer service with a large number of clients. Ability to understand follow oral and written instructions and develop and maintain effective working relationships with the public.
Salary: Office Specialist I: $1,023 - $1,410 biweekly (range 15); Office Specialist II: $1,128 - $1,555 biweekly (range 17); Office Specialist III: $1,243 - $1,714 biweekly (range 19). All levels include full benefits package. Payment will be made by direct deposit and salary will normally begin at the first step of the salary range. Overtime will regularly be accrued as compensatory time. Pre-employment Testing: Prior to appointment, applicant will be required to successfully pass a drug screening and background investigation. Individuals with unsatisfactory drug screening results will be ineligible for appointment or application to any Provo City position for a minimum period of six (6) months.
