Essential Duties: This is clerical support work requiring application of general office skills with some specialized knowledge of the operations of the Community Development Department of Provo City Corporation. The individual appointed to this position will be required to perform the following duties: track payments and receipts; type and input miscellaneous data into the computer; maintain files; relay information; take orders for repairs and new services; proofread reports, agendas and other documents; type reports, forms, and other documents; make copies; operate various office machines; use a computer terminal to enter and retrieve data in several different formats; receive calls and/or greet the public; give routine information from reports and records; handle confidential information; make routine mathematical calculations and assist in bookkeeping or handling some cash; maintain various agendas; set up meeting rooms and document templates, order and pick up meals, and update the website for various boards and commissions. Additionally, employee will be required to assist other staff members as needed and perform other related duties as required.
Minimum Requirements: Office Specialist I--High school diploma or G.E.D. with some course work in the secretarial sciences; or six months experience in clerical/secretarial work. Office Specialist II--High school diploma or G.E.D. and either one (1) year of experience as an Office Specialist I or 1.5 years of comparable experience.; or an equivalent combination of job-related education and experience substituting each one year of education/training for six months of experience. Office Specialist III---High school diploma or G.E.D. plus either 1.5 years experience as an Office Specialist II or three (3) years of comparable major clerical support experience; or an equivalent combination of job-related education and experience substituting each one year of post-secondary education/training for six months of experience. New hire probationary period will be one (1) year. NOTE: This classification is part of an open career series. At the discretion of the department director, the individual selected may begin at or be later promoted to any level for which the requirements are met.
Preferences: Preference given to applicants with a typing skill of 40 wpm or higher. Typing scores will be considered if submitted by the closing date. Typing scores will be accepted from any service or software that provides a printed result. However, all typing skills will be subject to verification.
Schedule: 9:00 AM to 3:00 PM, Monday through Thursday.
Wage: $10.00 per hour. Payment will be by direct deposit.
Selection Factors: Knowledge of basic English composition, spelling, and grammar; the operations, functions, and terminology common to the work; and general accounting practices. Skill in performing duties in a manner that demonstrates respect, integrity, courtesy, and kindness towards fellow workers, customers, and the general public. Ability to interpret and properly carry out general instructions; operate standard office machines and equipment (including computer); and communicate effectively both orally and in writing.
Screening: Based on meeting the minimum requirements and job-related experience, skills, knowledge, and education. Selection may be based largely upon an oral interview. Criminal background checks are conducted on all City positions. Non-disclosure may result in dismissal.
Physical/Environmental Factors: This work requires sitting at a desk or computer terminal for extended periods of time. May include exposure to high-stress situations or environments, including, contact with the public in confrontational or uncomfortable circumstances and other varied physical activities associated with performing the essential duties of the job.
